Your VA is already using AI. You’d be horrified if you knew how.
Not because she’s bad at her job.
Because nobody ever taught her the difference between what AI should handle and what needs a real person checking it.

And the most important one … the safe operating system that holds it all. Aka your business brain.

Because the AI tools she’s using are probably not plugged into your own business brain. And because she could be better utilised if certain tasks were done by an AI Agent and she’s managing the quality control and output of those agents. And then training them daily to improve them for the whole team.

I spent ten years as a VA & OBM and now that AI is here, the foundations haven’t changed - setting up your SOPs and processes for your team - only now it’s your AI agents and your human team to work from the same files.

The first step is setting up the foundations of your business properly. I like to call it your business brain, everything about your business, the rules and governance and what AI can and cannot do.

If it needs consistency, hand it to AI. If it needs judgement, it stays human.

In this AI era where people are churning out AI generated images, videos and written content. I’m just over here trying to be my human, cringey self, with a side serving of giggles, hair tosses, and just trying to get into this yapping stuff (better late than never).

Plus talk about what I actually do and how I can help you (if you didn’t catch it amongst the bloopers).

Is it just me or is talking to camera and explaining what you do succinctly the hardest skill ever?!

But here I am doing it anyway.

Here’s my attempt to explain what I do:

Think of me as someone who loves turning messy businesses into organised calm. Essentially, I organise the backend of your business - from chaos to calm and “oh look my business is so organised that I can actually find things now and I’m not wasting hours”.

I set up your operating systems for your business (and your personal life if you want that too) and this is so that when you hire a new team member, whether that’s AI or a real human, they can be onboarded quickly and easily.

I always say foundations before the magic. If you set up the foundations and scaffolding of your house (aka your business is your house) then the rest is where the magic comes in.

Ai does the busywork. You stay the expert. Your human team can step in to do more of the needle-moving tasks.

It’s an amazing transformation.

Once the foundations are in place, I set up your AI agents and a dashboard for visual awareness of what’s happening across your business.

You’ve said this sentence this week. And it’s true

You’ve said this sentence this week. And it’s true, which is exactly why it’s costing you.

“It’s quicker if I just do it myself.”

It IS quicker. Every single time you say it, you’re right. That’s the trap.

Because the way you do that job only exists in your head. Handing it over means explaining it, and explaining it takes longer than doing it. So you never explain it.

Your VA sits there waiting for instructions. Underutilised.

Your AI guesses, gets it wrong, sounds too generic, and you decide AI doesn’t really work for a business like yours.

Neither of them is the problem. And neither are you, by the way. Nobody has ever built you the system.

AI didn’t fix that. It just made you faster at being the bottleneck.

So here’s the actual job.

Start with the one task that’s taking up the most of your time.

Voice note it into ChatGPT or Claude, how you really do that task. It doesn’t have to be perfect - just start documenting this.

Then get it turned into a skill or a document that goes into your business brain. These are your knowledge documents, and they train your team. AI and human.

This is the start of automating tasks without you prompting your AI every time. It knows when to do this for you, and how.

The next time it runs, refine the process, and your agent updates the skill for you.

Now your VA knows what part of the process is hers to handle. So does your AI. And so do YOU!

This isn’t about replacing humans with AI.

It’s about helping you save time so you’re not stuck in the busy work that doesn’t need the best parts of you. So you can help your clients and your community.

So you can make more memories with your family and your friends, instead of being stuck in your business getting that email out, or that social post out.

Remember why you started your business in the first place. So it fits around your family, and not the other way around.

The hours you get back from AI are for this. An afternoon shop with my daughter because you can never have enough lip gloss and perfume and makeup (apparently). This is us making a bee line for Mecca.

While I was here, Claude was building my AI team and dashboard.

The best part is my COO. Her name is Frankie.

She runs my business operations, and she has one page of rules: what she can decide on her own, what she has to ask me first, and what she must never do at all.

Everything she does lands on one board.
What is waiting on me, what is being built, what went out, and who did it.
I can open it on my phone from the shops, the beach, school pick up and see the whole business in about eight seconds.

I did not build it because it looks good.
I built it because I could not see what my AI team was actually doing, and I was not going to hand work to something I could not check.
And I wanted a way to capture all of the things I need to focus on and have someone keep me accountable.

I’m a visual person as well so I need this view and not have things in a million tabs or tools.

If you built one for your business, these are the five things it should show you:

1. What is sitting with you, and how many days it has been there
2. What is actually in progress right now
3. What went out, and when
4. Who did it
5. What it got wrong and how it has fixed it

Number five is the most important, and the one no one seems to be talking about. AI isn’t perfect and needs to be trained and built.
