I’m Karen Vivarelli, an AI Operations Strategist based in Perth, Western Australia, working with business owners in person and online worldwide.

I teach women how to use AI in their business. And for those who’d rather have it done for them, I build the AI systems that keep their business running, so they’re free to focus on what they love (or take some much-needed time away from the biz).

MY STORY

From corporate legal to building AI systems

I wanted a business that fit around my family, not the other way around.

At the end of 2013, I was made redundant from my job at a law firm while I was pregnant with my second baby.

In June 2016, with no experience and two little girls at home, I left the legal world and started my business as a virtual assistant. I wanted flexibility, and a way to support my family from home.

From there I grew into an online business manager for six-figure business owners. I also coached other VAs who wanted to start their own business from scratch, and that’s when I created my first course.

I’ve been building systems for business owners, and for my own business, for 10 years.

And honestly? There were times I burned out and nearly walked away.

WHY ME

I'm not an AI expert. I'm a business owner who made AI work.

Let me tell you what I’m not first. I’m not a developer, and I don’t write code.

The first time I tried to learn AI properly, someone told me to “create markdown files in a folder in Obsidian using Wispr Flow”. I watched the words fly straight over my head, and I felt stupid. I’d been running a successful business for 10 years and thought of myself as techy.

Here’s the thing…
Nobody can really be an AI expert, because it’s changing so fast. You don’t have to be the smartest person in the room about this stuff, and neither do I. If that’s the rabbit hole you want to go down, there are brilliant AI specialists to follow. I learn from Kyle Balmer, Dr Nici Sweaney, Allie Miller and Natalie Choprasert.

I went looking for AI for one reason. I wanted more time to do what I do best, and more time with my family. And honestly, if I didn’t learn AI, I’d be out of a job. It was that simple.

So I found the tasks that give me my hours back. Now I set up those same systems for you.

Along the way, I noticed a lot of AI teaching is tech-first and full of jargon, and it makes you feel behind before you’ve even started. I teach the opposite way. I’m very visual, so I go step by step, at a pace that suits you. It’s all designed for the woman in business who just wants AI to help her get her time back.

You don’t need to understand how AI works (although I can teach you that too). You just need it working for your business. I explain it all in plain English, for service-based businesses and female founders, as someone who was standing exactly where you are not that long ago.

Here’s what that looks like in my business right now:

  • I’ve been quietly running my business with AI for months: organising my files, creating and repurposing content, pulling together client feedback, analysing my social media, managing my inbox, and writing my daily brief.
  • My AI COO, Frankie, runs my whole team of AI agents. Every weekday morning I open my dashboard, my brief is waiting, my email replies are drafted for me to check and send, and I can see my whole business at a glance.
  • It all keeps moving in the background while I’m out on a walk, having a mid-week coffee with a friend, or at the dinner table with my family, not glued to my laptop.
  • It’s saving me hours every week right now (and my sanity).

WHY I DO WHAT I DO

I started my business so I could be there for my girls. I never wanted a business that made me choose between growing it and spending time with my family. And now I get to do both!
